Editing a search profile
Keywords, CPV codes, negative keywords, summary, countries and regions, and why saving does not re-run the match.
The profile is the one place where you control what gets matched. Editing it is the fastest way to fix a list that returns too much or too little.
Editing needs the owner or admin role; members see the profile but cannot change it, see Roles and permissions.
What you can edit
| Field | What it does | Good practice |
|---|---|---|
| Name | How the profile appears in the sidebar, the match list and the daily email. Click the name in the match list header to rename it inline. | Name the market, not the company: "Facility management Bavaria". |
| Summary | A few sentences describing your company. Used by the ranking model. | Concrete services, not marketing language. |
| Sector | The industry you operate in. | One sector per profile. Split diverse businesses into several profiles. |
| Keywords | Terms matched against title and description. | Use the words your BUYERS use, in their language, including the clumsy official ones. |
| Negative keywords | Terms that disqualify a tender. | The single most effective field. Add the words that keep showing up in the wrong hits. |
| CPV codes | Classifications you want. | A division (two digits) is often better than an exact code. |
| Countries and regions | The geographic gate. "Europe" means the EU, EFTA and the UK; Ukraine has to be added explicitly. | Only where you can actually deliver. |
Keywords, negative keywords and CPV codes accept a comma-separated paste, one chip per term. Pasted CPV codes are checked against the catalogue; unknown codes are skipped.
Profiles without a website
A profile created manually has no website to fall back on, so it must always keep at least one of a summary, a keyword or a CPV code. The editor refuses to save a manual profile that would be left with nothing to match on. Sector and negative keywords alone are not enough.
Saving does not re-run the match
When you change the definition, the existing match list stays as it is. You see a banner telling you the list is now older than the profile.
That is deliberate: a re-run costs time and money, and you usually make several edits in one sitting. Make all your changes, then refresh once. See Refreshing and limits.
Arrays replace, they do not merge
Keywords, negative keywords and CPV codes are stored as complete lists. Saving five keywords replaces whatever was there before with those five. If you use the AI connector to edit a profile, tell the assistant to read the current list first and send the full new list.
When to edit and when to add a profile
Edit when the list is nearly right and needs sharpening. Add a second profile when you serve two genuinely different markets: a company doing both electrical installation and IT support will get a cleaner list from two profiles than from one profile that tries to be both.
