What is an organization
The organization is the shared unit in Polytender: it owns the search profiles, the members and the subscription. What is shared, what stays personal, and how several organizations work.
An organization is your company (or your team) inside Polytender. It is where the work is shared: everyone in it sees the same search profiles and the same match lists, and the subscription is paid once for the whole organization.
Shared or personal
| Shared with the organization | Personal to you |
|---|---|
| Search profiles and their definitions | Favorites and stars |
| Match lists and "not relevant" decisions | Private notes |
| Members, roles and invitations | Email alert subscriptions |
| Subscription, seats and limits | The "new" badges on match lists |
The rule of thumb: everything that finds tenders is shared, everything that records your opinion about a tender is personal. When a colleague edits a search profile, the next match list changes for everyone. When you star a tender or write a note, nobody else sees it, see Favorites and private notes.
Billing is per organization
The subscription belongs to the organization, not to a person. It covers a number of seats (members, including open invitations) and a number of active search profiles, and every organization starts with its own free trial. Only the owner can buy or change the plan, see Plans, trial and limits and Subscription, seats and invoices.
How an organization comes to be
Signing up creates your first organization during onboarding, together with your first search profile, see Create your account. If someone invites you instead, you join their organization and skip the onboarding.
You can create further organizations from the switcher described below or on the Organizations page. Each one is separate: its own profiles, its own members, its own trial and plan.
Switching between organizations
You can belong to several organizations, for example your own company and a client's. Only one is active at a time, and it is shown at the top left of the sidebar.
Click the organization name to open the menu. It lists every organization you belong to with a check mark on the active one; picking another switches immediately, and everything below the switcher follows: the matches, the search profiles, the sources, the favorites scope. The same menu holds Create organization and Manage organization, the latter opening the members and invitations page.
Your favorites keep the organization they were created in, so switching does not lose anything. On the favorites page you can show all organizations at once.
If you are removed from the organization you are currently working in, the app moves you to another one you belong to, or to creating a new one.
