Roles and permissions
What the owner, admins and members of an organization can do, and how ownership is transferred.
Every organization has exactly one owner, any number of admins and any number of members. The role is set when someone is invited and can be changed later by an owner or admin.
| Owner | Admin | Member | |
|---|---|---|---|
| View search profiles and matches, favorites, notes, own alerts | yes | yes | yes |
| Create, edit, rename, refresh and archive search profiles | yes | yes | no |
| Dismiss matches as not relevant | yes | yes | no |
| Invite and remove members, change roles, cancel invitations | yes | yes | no |
| Rename the organization | yes | yes | no |
| Billing: choose a plan, add seats and profiles, cancel | yes | read-only | read-only |
| Transfer ownership, delete the organization | yes | no | no |
Members are deliberately view-only on the search profiles: they work the match lists, star tenders and write notes without being able to change what the whole team is matched against. When a member clicks something they cannot do, the app names the people who can.
Admins run the day-to-day: profiles, matches and the team. They see the billing page but cannot change it.
The owner is the one person who can buy, change or cancel the subscription and delete the organization, see Subscription, seats and invoices.
Transferring ownership
The owner promotes another member to owner on the Organization page. That person becomes the single owner and the previous owner becomes an admin, so control of billing moves with the role. The last owner cannot leave the organization without handing over first.
Roles from your AI assistant
Listing members, changing roles and everything around invitations also works from a connected AI assistant. Anything that changes a role or sends an email asks for confirmation first, see the tool reference.
What is an organization
The organization is the shared unit in Polytender: it owns the search profiles, the members and the subscription. What is shared, what stays personal, and how several organizations work.

How to invite colleagues to your organization, what happens with seats and invitations, and how members are removed or leave.
