Inviting and removing members

How to invite colleagues to your organization, what happens with seats and invitations, and how members are removed or leave.


Colleagues join your organization by invitation. An invitation needs a free seat, carries a role, and is accepted by simply opening the link in the email.

Invite by email and role, the person opens the link, and they appear in the member list.

Inviting someone

Open the Organization page

Only an owner or admin can invite, see Roles and permissions.

Enter the email address and pick a role

Member is the right default for people who work the match lists. Choose admin for those who should also edit search profiles and manage the team.

Send

The person receives an email with a link. Opening it and signing in, or signing up with the invited address, joins them to the organization. If they already have a Polytender account, they are added directly and get a short email telling them so.

New members see the organization's search profiles and matches immediately. They do not inherit anyone's favorites, and they are not subscribed to any daily alert until they turn one on themselves, see Email alerts and digest.

Seats and invitations

  • Every member and every open invitation takes one seat.
  • An invitation is valid for 7 days. Cancelling an invitation nobody will accept frees its seat.
  • Inviting beyond your seats opens the add-a-seat dialog. Additions take effect immediately, see Subscription, seats and invoices.
  • Expired invitation? Ask an owner or admin to invite the address again.

Removing a member

An owner or admin removes a member on the Organization page. The seat is freed at once. The organization keeps its search profiles and matches; the removed person keeps their own favorites and notes, and loses access to the organization's data.

Leaving

Any member can leave from the Organization page. The owner has to transfer ownership first.
