Create your first search profile

Enter your website, review the profile we derive from it, and get your first ranked tender matches.


A search profile is a saved, re-runnable description of what your company does. Polytender matches every new tender notice against it and keeps a ranked list of the ones worth looking at. Creating the first one is the last step of onboarding, and it takes about two minutes.

Your website is read, a profile is derived from it, and the first run turns that into a ranked match list.

What happens step by step

Your company name

Sign-up leads straight into onboarding. We ask for your company name, which becomes the name of your organization.

Confirming the company we already know

If our procurement data already contains a company with that name, we show it (with the countries it won contracts in and when it last won one) and let you confirm. That gives the profile a head start. You can always continue without a match.

Your website

This is the important one. We fetch your website and read what your company actually does. If you entered a website before signing up, it is prefilled.

The step is skippable. Without a website your organization is still created; you then describe your first profile by hand, see below.

Your organization is created

A recap of the company name and website, then one click creates your organization and starts the free trial.

Review what we found

Before anything is searched, you see the derived profile and can correct it: a short summary of your company, the sector, keywords, CPV codes and the target country.

This review is deliberately mandatory. The matching is only as good as this profile, and a wrong sector or a missing keyword is much cheaper to fix here than to wonder about later.

The first run

When you confirm, we create the search profile and run the first match. This takes a moment: we search the tender corpus, score every candidate against your profile and store the ranked result. You land directly in the match list.

Without a website: a manual profile

If you skipped the website, or your company is better described in your own words, create the profile by hand: New search profile in the sidebar, then Create manually. Give it a name and at least one of a short summary, a few keywords or CPV codes; that definition is the profile, and matching runs on it alone. A manual profile can never be saved without something to match on.

If your website cannot be read

Some sites cannot be crawled: a JavaScript-only page with no server-rendered text, a site behind a login or a cookie wall, a redirect loop, or a server that blocks automated requests.

When that happens you get an empty or very thin profile instead of an error you cannot act on. Three ways forward:

  • Fill in the profile by hand. A one-paragraph summary, five to ten keywords in the language your buyers use, and the CPV codes for your services are enough to start. See Editing a search profile.
  • Point us at a different page. A services or products page often carries more usable text than the homepage.
  • Tell us. Click the feedback button at the bottom of the sidebar or write to support@polytender.com with your website address. Our team will look at why it could not be read and get back to you.

After the first run

  • Work through the matches and use Not relevant on the ones that miss. That is the fastest way to sharpen the profile, see Why did this match.
  • Turn on the daily alert for the profile so new matches reach you by email.
  • Add more profiles for other parts of your business. Each one is matched separately, which keeps the lists clean.
