Tracking tenders
Follow a tender and get notified when the deadline moves, documents or bidder Q&A change, or it is cancelled or awarded.
Tracking a tender tells Polytender to watch it for you. We check every tracked tender each morning and let you know in the app and by email when something changes, plus a reminder before the deadline.
Tracking is separate from the star: a favorite is something you want to find again, a tracked tender is something you want to hear about.
Start tracking
Click the bell next to a tender: on the detail page, in the search, in a match list or in your favorites. The first check sets the baseline, so the list shows "First daily check pending" until the next morning, and changes are reported from then on.

Tracking follows the procurement, not only the one notice you clicked. A correction or an award notice published later for the same procurement counts as an update to the tender you track.
What we notify you about
- Deadline moved, with the old and the new date
- New documents, documents updated and documents removed
- Bidder Q&A published
- Correction published
- Cancelled
- Awarded, with the winner when the notice names one

Documents are only checked while the tender is still open. Some portals do not let us list their documents; for those, the tracked list says "Document changes can't be monitored for this portal" and you still get every other update.
Once the deadline has passed there are no more reminders, only news about an award or a cancellation. 180 days after the deadline a tender is no longer checked at all.
Deadline reminders
By default you are reminded 7, 3 and 1 day before the deadline. You can pick any of 1, 3, 7 and 14 days, or none, under Notifications in the sidebar. Days are counted in calendar days in your time zone, which you can change on the same page. If the deadline moves, the reminders follow the new date. A cancelled or awarded tender sends no reminders.
Where updates show up
- The bell at the top right opens a panel with every update on your tracked tenders, newest first. Filter it by Changes or Reminders. A dot on the bell means there is something you have not seen yet.
- Tracked in the sidebar lists the tenders you track in the current organization, soonest deadline first, with the days left, the status and the last update.
- The detail page of a tracked tender shows the changes since you started tracking it.
- Email: at most one mail a day. If several tracked tenders changed on the same day, they arrive together in one mail.
Emails
Tracking emails have their own switch, Tracked tender emails, under Notifications. Turning it off stops the mails, updates keep appearing in the bell. It is independent of the daily digest, see Email alerts and the daily digest.
The unsubscribe link in a tracking mail only stops tracking mails. The page it opens also offers to stop all Polytender emails.
Personal, per organization
Tracking is personal: your colleagues do not see what you track and do not get your updates. Each of them tracks what they need.
Like favorites, a tracked tender belongs to the organization you were working in when you tracked it. The Tracked page shows the current organization; switch organization to see the others.
If you are removed from an organization, your tracked tenders there are paused and come back if you are added again. Tenders are only checked while the organization has an active trial or subscription.
Limits
You can track up to 100 tenders, counted across all your organizations. The Tracked page shows how many you use. At the limit, stop tracking one to add another.
Stop tracking
Click the bell again, or Stop tracking on the Tracked page. No more emails or reminders are sent for that tender. Past updates stay in the bell panel.
